Privacy Policy

Last updated September 10, 2026. This policy describes how Veilo handles data in the beta desktop app and website.

What Veilo collects

  • Account data such as your name, email address, profile image, authentication session, and connected account status.
  • Meeting records such as meeting titles, dates, durations, transcript segments, generated summaries, assistant messages, and related metadata.
  • Live audio during active capture. Audio is streamed to a transcription provider so Veilo can produce text and meeting notes. Veilo does not need your camera video for transcription.
  • Optional screen context when you turn on Read screen. In that mode, Veilo may capture a screenshot and send it with your assistant prompt so the AI can answer with visual context.
  • Calendar data if you connect a calendar integration, including calendar status and event details needed to show upcoming meetings. Veilo reads calendar events; it does not edit your calendar.
  • Diagnostics such as error reports, logs, device/app information, and crash context used to debug and secure the beta.

How data is used

  • To start, resume, complete, and review meetings.
  • To create transcripts, summaries, action items, titles, and AI assistant responses.
  • To keep assistant chats attached to the relevant meeting.
  • To sync meeting data with your account and recover it across app sessions.
  • To improve reliability, investigate bugs, prevent abuse, and enforce beta limits.

Device data

  • The desktop app may store limited data on your device so the app can stay responsive, remember your preferences, and recover from temporary connection issues.
  • Device data can remain until you clear app data, sign out, delete meetings, or uninstall the app.

Cookies and similar technologies

  • Veilo uses essential cookies and similar browser storage to provide sign-in, security, preferences, and other website features that need to remember your session or choices.
  • With your permission, Veilo also uses optional analytics to understand visits, page usage, downloads, and website performance. This information helps Veilo understand whether the website is working as expected.
  • Declining optional cookies does not prevent essential website features from working. Optional analytics will not be enabled after you decline.
  • Your cookie choice is remembered in your browser. You can reset that choice by clearing Veilo's site data in your browser, after which the cookie notice will appear again.

Third-party processing

  • Veilo uses trusted service providers to operate core product features such as authentication, transcription, AI responses, infrastructure, and diagnostics.
  • Live audio may be sent to a transcription provider during an active meeting.
  • Assistant prompts can include your messages, recent meeting context, selected meeting references, and optional screenshots when Read screen is enabled.
  • Diagnostic reports may be processed by service providers, but Veilo tries to avoid sending unnecessary meeting content in diagnostics.

How your data is stored and protected

  • Account details, meeting records, transcripts, summaries, and assistant messages are stored securely so they can sync with your account. Limited preferences and temporary meeting data may also be stored on your device.
  • Veilo protects data while it is being sent and while it is stored using encryption provided by Veilo and its service providers.
  • Veilo uses account authentication, server-side authorization checks, and user-scoped meeting queries to limit access to account data. Service credentials are kept on Veilo's server rather than shipped in the desktop app.
  • Veilo is not end-to-end encrypted. When you enable transcription or AI features, the content needed for that feature must be decrypted and processed by Veilo and the relevant transcription or AI provider.
  • Veilo does not claim that meeting data is protected with a specific algorithm such as AES-256-GCM or RSA-4096 unless that protection is implemented and verified across the complete data path. Encryption methods may be managed by Veilo's infrastructure providers and may change over time.
  • Data cached on your device may rely on the security of your operating system and user account rather than separate application-level encryption. Protect your device, use a strong sign-in method, and clear local app data before giving another person access to it.
  • No method of transmission over the internet or electronic storage is fully secure. We cannot guarantee absolute security, and you use the service at your own risk.

Your choices

  • You control when a meeting starts and stops.
  • You can mute your microphone, disable optional screen context, disconnect calendar integrations, delete meetings, and clear local app data.
  • You are responsible for getting any consent required before recording, transcribing, or using AI assistance in a conversation.
  • Screen-share visibility settings do not change the data Veilo processes for enabled features and do not remove your responsibility to give notice or obtain consent when required.

Retention and deletion

  • Meeting records may remain in your account until deleted or until Veilo removes them under beta retention rules.
  • Clearing data on one device does not always delete account data. Deleting a meeting in the app is the intended way to remove the meeting record from your account.
  • Some logs, security records, and backup copies may be retained for a limited period when required for security, debugging, legal, or operational reasons.

Beta notice

  • Veilo is currently in beta. Features, data practices, providers, retention windows, and limits may change as the product develops.
  • This policy should be reviewed by counsel before a public production launch, especially if Veilo is used in regulated industries or multiple jurisdictions.

Children's privacy

  • Veilo is not directed at children under 13 years of age and does not knowingly collect personal information from children under 13.
  • If we become aware that a child under 13 has provided personal information, we will delete it promptly. If you believe a child under 13 has submitted information to Veilo, contact us at hello@veiilo.com.

Your right to delete

  • You can delete individual meetings and their associated data from within the app.
  • To request full deletion of your account and all associated data, contact us at hello@veiilo.com. We will process deletion requests within a reasonable time, subject to any legal retention obligations.
  • Note that deleting data on one device may not remove data stored in your account. Deleting a meeting in the app is the intended way to remove the meeting record from your account.
